    TITLE: Loan Operations Specialist (Temporary)

    POSITION OVERVIEW

    Washington Area Community Investment Fund (Wacif) seeks to fill a full-time temporary Loan Operations Specialist, to ensure the smooth and continuous delivery of loan services to our clients. Responsibilities will include the management of loans post-closing until paid in full utilizing the Lending department's servicing system. The Loan Operations Specialist will be responsible for the accurate coordination of loan closings, loan disbursements, loan input, loan monitoring, and portfolio summary reporting to the Chief of Lending and other team members.

    This position also ensures that the lending team adheres to policy, follows established workflows, and consistently delivers exceptional service to our clients. The individual assists the Chief Lending Officer and the Portfolio Management Analyst in daily department operations and works in coordination with management on special projects as required.

    This is a temporary position with the opportunity to become permanent.

    DUTIES & RESPONSIBILITIES

     Loan Systems Management (45%):

    • Perform routine loan maintenance, including but not limited to, address changes, automatic payment set-up, account and/or billing maintenance, application of payments, check issuance, and wire transfers.
    • Performs other loan system maintenance or functions related to loan boarding, quality control of system inputs, insurance coverage, monthly credit reporting, loan modification or subordination, payoff quoting and processing, lien release preparation, month-end reporting and loan transfers.
    • Maintain electronic database of loan documentation and customer correspondence, which includes images.

    Loan Closing and Disbursement (30%): 

    • Coordinate loan closings and disbursements with finance, lending officers, portfolio managers.
    • Manage the workflow of loan closings to payoff loan balances.
    • Review loan and other closing documents for compliance prior to onboarding to ensure no losses as a result of improper closing procedures.
    • Ensure compliance with Wacif policies, rules, regulations, and prescribed policies/practices/procedures necessary to reduce risk and uphold ethical standards.

     Compliance and Reporting (15%):

    • Work with other staff to prepare compliance and impact reports for funders and investors.
    • Work collaboratively with other departments to manage information, reporting, and document preparation for various internal and external needs.
    • Gather and review required documents when requested for audits or other reporting criteria.

     Other Duties as Assigned (10%):

    • Lead or assist ad-hoc projects as assigned. Work on projects in coordination with the CLO that will enhance the Wacif product offerings or add efficiencies to our loan processing workflows. Projects may include but are not limited to industry research, product development, operational efficiency, compliance and reporting systems protocol, portfolio risk summaries, or policy analysis. (The percentage of time spent on these areas could fluctuate daily based on departmental volume).
    • Performs portfolio activities in absence of the Portfolio Management Analyst.
    • Write and review department procedures.

    QUALIFICATIONS

    • Bachelor's degree from an accredited institution in related field required.
    • 2+ years' experience with commercial loan origination and servicing systems.
    • 2+ years of financial institution experience required with 1+ years working specifically in a lending operations position.
    • Experience in a financial environment, preferably in a nonprofit setting.
    • 3 years of customer service experience.
    • Capacity to learn departmental software systems and databases, including but not limited to Customer Relationship Management (CRM software, Loan Origination, Loan Servicing, and cloud-based programs like Microsoft 365.
    • Prior work-related experience and knowledge of community development lending, as well as traditional and alternative commercial loan programs is beneficial.
    • Hands-on experience working with small business owners is a plus.
    • Excellent verbal, written, and interpersonal communication skills.
    • Must possess the ability to meet performance goals.
    • Detail-oriented individual, and ability to work independently and with a team.
    • Fluency in MS Office suite (Excel, Word, PowerPoint), and strong analytical skills are required.

    • Ability to make timely and well-informed decisions based on discernment even in times of complexity and ambiguity.
    • Occasional evening and weekend hours may be required.
