    Date of Preparation: November 18, 2019

     

    General Purpose of Job:  Responsible for 1) maintaining complete and accurate NCIFund paper and electronic loan files, boarding new loans, 2) servicing loans and interacting with borrowers and lenders regarding loan payoffs, release of collateral, delinquent accounts and 3) providing compliance reports which includes reports from TEA and Sageworks and 4) providing ongoing training to staff.

     

    Essential Functions:

     

    Document Management

    • Maintains electronic and paper loan files to ensure accuracy and thoroughness of loan information.
    • Implements best loan file management practices
    • Boards new loans after closing
    • Inventories loans after closing to ensure loan documentation and application materials are complete and accurate
    • Life of loan monitoring of files to make sure that all relevant loan documentation is current including but not limited to insurance (property, hazard, and key man life insurance), interest rate adjustments for variable rate loans, and financial information of borrowers.
    • Participation loan servicing functions with participant lenders
    • Works with lenders and loan closing team to assure that all loan documentation and application material are properly filed or documented.
    • Processes loans that are paid off, including documentation to release or remove collateral held as security for the loan.
    • Prepares documents for permanent storage.
    • Creates ticklers to make sure UCCs are renewed, insurance and tax returns are current, etc.

     

    Reporting and Compliance

    • Supports Director of Lending in preparation of weekly, monthly and quarterly portfolio reports for staff, Board and funders.
    • Disseminates information regarding loan delinquency and maturity to lenders as necessary.
    • Generates from TEA the bi-monthly ACH transactions list.
    • Reconciles monthly TEA loan transactions and generate batch for post to accounting system.
    • Assists NCIFund staff with annual audits
    • Assists NCIFund staff with Annual Impact Report as needed.
    • Assists the CEO, Director of Lending, Director of Finance  and all other NCIFund staff in the collection and extraction of data from the loan software to analyze the NCIFund loan portfolio for annual and quarterly compliance reports to Board and all NCIFund funders.
    • Generates from TEA the bi-monthly ACH transactions list.
    • Reconciles monthly TEA loan transactions and generate batch for post to accounting system.
    • Reconciles balances and payments with Participation Lenders

     

     

    Servicing

    • Establishes relationship with borrowers as the borrower's point of contact person at NCIFund for information on account and servicing needs
    • Records incoming payments and outgoing disbursements in loan software.
    • Calculates and prepares payoff statements.
    • Prepares and sends letters to borrowers, to include, but not limited to, annual compliance reminders, requests for current insurance documentation, and late payment notices.
    • Releases titles, collateral and insurance interests as assigned by Director of Lending.
    • Prepares amortization schedules, wire requests, and check requests as needed to assist the Director of Lending and Director of Finance.

     

    Training

    • Acts as first point of contact for customer relationship management software (i.e., Sageworks) and CORE loan software (i.e., TEA). Provides quarterly training on TEA and loan closing sections of Sageworks to closing team (i.e., ticklers, etc.).
    • Trains new employees on best practices and uses of loan software.
    • Creates and Updates Portfolio Administration Guide SOP as delegated.

     

    Qualifications/Basic Job Requirements: 

    • Three to Five years of experience in a similar position in a lending institution
    • Four-year degree in Business Administration or two-year degree with related experience.
    • Familiarity with TEA, Sageworks, or LaserPro or similar loan software
    • Understanding of databases and report generation
    • Demonstrated proficiency in using MS Excel, Word, Outlook
    • Demonstrated strong organizational skills, attention to detail and accuracy.
    • Excellent verbal and written communication skills.
    • Have a valid notary public certification or obtain certification as a notary public within 6 months of being hired; notary public certification is needed to release collateral and for other document filings.

    • Must be able to lift file boxes
    • Must have a valid driver's license.
